2. Communication and Information Flow

  • Drafting Correspondence: Write, edit, and format professional documents, reports, proposals, internal announcements, and presentations (e.g., using Microsoft Office Suite or Google Workspace).
  • Information Management: Implement and maintain effective filing systems, databases, and CRMs. Manage the flow of information to and from the executive.
  • Liaison: Serve as a communication link between the executive and internal staff, board members, clients, and external partners.

3. Travel and Expense Management

  • Travel Coordination: Arrange and manage complex domestic and international travel logistics, including booking flights, accommodations, ground transportation, and creating detailed itineraries.
  • Financial Administration: Track and manage executive expense reports, reimbursements, invoices, and purchase orders, often managing small budgets with a high degree of accuracy.

4. Project and Strategic Support

  • Special Projects: Assist with or independently manage special projects, research, and cross-departmental initiatives, often compiling and analyzing data to support executive decision-making.
  • Anticipation and Proactivity: Anticipate the executive’s needs before they arise, preparing for meetings, preemptively resolving scheduling conflicts, and finding solutions to operational challenges.
  • Office/Department Support: May assist with office management duties, coordinate team communications, and plan executive-level events (e.g., leadership offsites, client dinners).
